Best Practices for Using Microsoft Outlook from a Sales Perspective

Lexus Enform Rocks & Presentation for Professional Women’s Network Next Week

Day 17 at Inbox Zero and it feels great!  My Tasks folder is also up to date and organized which has been great for my efficiency because whenever I have a spare minute or two, I’ve got a prioritized list ready to go.  That list came in handy today when I finished up a task early and realized I had just enough time to make a couple of bank deposits (also on my task list) before my next appointment.  The only problem was that I wasn’t near my home and wasn’t sure where a close branch was.  Enter my Lexus Enform system – I typed in the name of my bank and Enform told me there was one less than a mile away with my 2nd bank right across the street.  So instead of wasting a half hour before my next appointment, I got to check off two more items on my task list – Awesome!

Yes, it feels good to have my Outlook folders back on track again and I’ll be discussing some of the great tools Outlook offers next Tuesday morning at the Professional Women’s Network of Houston meeting.  Here is a short synopsis of my presentation: Read More

Arrow-Tip #53 Establishing Key Performance Indicators (KPIs)

As promised this post is the first in a series discussing how I helped my client Gulf Coast Welding Corp (GCW) establish and communicate performance in key areas of their business i.e. Key Performance Indicators (KPIs).  My good friend and super operations management guru Tim Smith was also kind enough to throw in a few other food for thought items – you can check out more of Tim’s great ideas on his site theplaidgroup.com. How to Synchronize SharePoint Contacts with Outlook

You can create a contacts folder in Outlook that mirrors any contacts folders on SharePoint and then keep the data synchronized between the two.  You will not be able to synchronize with your main Contacts folder, but this feature is nice for company lists that don’t all need to be included in your main folder anyway.  For example, as a sales person, you may not need to see the entire client list on a regular basis – especially accounts receivable or operations contacts that perhaps your customer service or credit department interface with on a regular basis.  However, on occasion you may still want access to information some of these folks.  Here’s how to create the shared folder in your Outlook profile: Read More

Arrow-Tip #52 Don’t Accidentally Archive Your Inbox

Ah, almost 2 weeks maintaining Inbox Zero status and it feels great!  So great in fact that I decided to go back and clean up some other folders as well.  While reviewing my archive folders, I found to my utter mortification that some of my active email correspondence from about a year ago had accidentally been archived – Yikes!  Read on to find out how to avoid archiving the wrong items. How to Prevent an Outlook Folder from Archiving

Some folders contain emails that you may need to reference on a regular basis even after they see their six month birthday.  There is a setting for those folders which will prevent Outlook from archiving any items within them or you can set the archiving date range to go back further for those folders as well.  Here is how:

Arrow-Tip #51 Limit Your Mailbox Size to Achieve Inbox Zero

Those of you who follow me on Twitter will know that for the past week I’ve been very focused on maintaining Inbox Zero status.  For those of you who don’t know, “Inbox Zero” means that at the end of the work day your Inbox has zero messages in it.  Yes, Zero as in the number “0” and, no, I don’t mean by alienating all your clients and vendors so that no one sends you email anymore 🙂  I’ll list some of the benefits of Inbox Zero in my next post, but for now thought you all might find this quick tip for helping maintain Inbox Zero discipline helpful.

Houston Business Connection Presentation: Social Media 302

Thank you very much to Darrell Hail and all my friends at The Houston Business Connection for inviting me to speak at their breakfast meeting this morning.  A year ago this group asked me to give a Social Media 101 presentation to introduce them to Social Media.  They’ve come a long way with their social media proficiency since then so today they were ready for more! Arrow-Tip #50 Keep-in-Touch with Your Contacts

One of our HuntressPro customers recently asked if there was a “keep-in-touch” feature in HuntressPro to allow him to schedule call backs at regular 30, 60 or 90 day intervals.  Making regular call backs to existing or potential customers is always a great idea and we’ve seen it implemented especially well by our clients in commercial real estate.  In fact, both HuntressPro and HuntressLite have a built in keep-in-touch feature as described below. How to Insert a Picture in a HuntressPro Contact Form

One of our users asked if we could include a picture field in the HuntressPro contact form similar to the one in the standard Outlook form.  While that control is currently unavailable to Outlook add-on developers, there is a work around you may find of interest.

Place your cursor in the Notes field (see thumbnail below)

Huntress Contact Form Notes Field

Now from the “Insert” tab, click the “Picture” button (see thumbnail below)

The “Insert Picture” window will open.  Browse to the picture you wish to insert and then click the Insert button (see thumbnail below)

The picture will now appear in the notes field (see thumbnail below)

Hopefully, the insert picture control will be available from Microsoft in their next toolkit, but in the mean time I hope this work around helps!

Upcoming Speaking Engagements

Please note that I made a mistake regarding the date of my presentation to the eWomen’s Network when this post was originally published – my apologies for any inconvenience, I have corrected the date of that engagement as well as added another one below.

Fresh off my Mom 2.0 Summit high, I’ve lined up three speaking engagements.  I believe all three groups are open to receiving guests so please join us if you are interested in either of the topics I’ll be discussing.

First up on March 5th will be The Houston Business Connection breakfast meeting.  This is a great group of professionals that meets every Friday morning at The Houston Racket Club on Memorial Drive and I will be speaking with them about using Social Media from a business perspective.

Next on Friday, April 9th will be the eWomen Network Luncheon.  This group of successful business women holds monthly luncheons at The Derek Hotel on Westheimer just inside the 610 loop.  I will be speaking with this group about using Microsoft Outlook and SharePoint to increase efficiency and accountability in their business.  Since Advena Artemis is a Microsoft Partner, Microsoft has agreed to provide some great give-aways at this event.

And then on Tuesday, May 11th I will give a second presentation regarding Microsoft Outlook to Professional Women’s Network of Houston which meets at La Madeleine in the Carillion Center at 7:15 AM.  I’ll have more specific details on that topic next month.

Hope to see you there!
